A Practical ITAD Checklist for School Technology Refreshes
Plan the refresh as an asset-control project
School refreshes often involve hundreds or thousands of devices moving during a short summer window. Start with locations, device types, quantities, asset tags, accessories, timing, and the staff authorized to release equipment.
- Export the district inventory before pickup.
- Separate student devices, staff devices, servers, and networking equipment.
- Define how locked, damaged, or missing devices will be handled.
- Document the required data-sanitization method and reporting fields.
Protect data during staging and transportation
Devices should be staged in controlled areas and connected to a pickup manifest. Record the transfer of custody, identify the driver or carrier, and keep pallets, carts, or containers associated with the correct school and project.
Reconcile before closing the project
Match received devices against the school inventory, document sanitization results and exceptions, and report whether each asset was reused, recovered, destroyed, or recycled. A clear exception report helps technology staff resolve missing or unmatched records quickly.
